Business Services Support Manager - North Phoenix

SUMMARY Responsible for overseeing the centralized commercial/commercial real estate/construction and development/participation loan administrative process. Responsible for all areas of operations including loan servicing, preparation of loan documentation, booking new loans, reconciliations, collateral review, payment processing, member support, file maintenance and record retention.

The position requires an in-depth knowledge of departmental operations; ability to manage, train and motivate Associates; provide information and assistance to Members and production staff to resolve problems; working knowledge of loan operations, processes and procedures including compliance requirements; ability to meet deadlines to ensure timely, accurate documentation, closing and booking of loans.

The confidential nature of the department business involves discreet performance of all duties and professionalism in all aspects of Member and Associate relationships.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Works closely with production staff and other departments to promote communication, and to ensure quality service delivery throughout the credit union as well as with external Members.

  • Develops and maintains work flows for all department functions to ensure optimum staffing levels.

  • Directs loan input (system boarding) and verification procedures for all loans to ensure proper segregation of duties.

  • Establishes, monitors and streamlines operating procedures; reporting; and internal controls. Includes managing vendor relationships for operations resource requirements and software.

  • Assists IT department with maintenance and functioning of automated systems relative to the business lending function.

  • Oversees all day-to-day processing and closing operations.

  • Ensures adherence to related policies, procedures and regulations.

  • Ensures insurance collateral protection for all secured loans requiring fire, flood, collision, comprehensive and physical damage coverage.

  • Balances departmental GL accounts.

  • Oversees the set-up, monitoring and servicing of Purchased and Sold Participation Loans.

  • Manages the preparation of reports regarding productivity, volume and performance. Analyzes results and recommends changes to work flows and staff assignments to ensure departmental goals are achieved and maintained.

  • Responsible for the disbursement of paid loan documents. Ensures that time frames are met in accordance with regulatory requirements. Satisfies UCC liens and ensures properly recorded. Satisfies liens on titles and returns titles to members. Ensures negotiable collateral is released in accordance with policy and procedures. Ensures cancellation of tax service on real estate loans.

  • Responsible for obtaining all collateral and related documents for new and renegotiated loans and processes the appropriate documentation to secure the CU's security interest. Reviews all new loan files for pending collateral items not included. This includes recorded deeds of trust, recorded UCC's, titles, title policies, etc.

  • Oversees credit and collateral file organization, maintenance and record retention including the timely filing of documents, periodic cleaning, and managing check in/out of files for the security of the files in a controlled environment.

  • Develop an understanding of Credit Union philosophy, organization, bylaws, and operational procedures and comply with the requirements of the Bank Secrecy Act, AML, OFAC and all other applicable State and Federal Financial Institution Regulations.

Education and/or Experience

Bachelor's degree in a related field preferred but not required; five to ten years business lending operations experience. Equivalent combination of education and experience 3-5 years management/supervisory skills. Experience with LaserPro documentation software, Fiserv DNA systems and Colson’s SBA loan processing platform is preferred.
