Executive Assistant - North Phoenix, AZ


OneAZ Credit Union is looking for a detail oriented, energetic and intuitive Executive Sales Assistant to join our organization. The Executive Sales Assistant is considered an important link between HR, Retail Associates and Members. Reporting to the EVP of Retail and EVP/Chief Administration Officer, the Executive Sales Assistant provides highly complex administrative support in a multi-faceted environment. The incumbent will handle a wide range of administrative and executive sales support related tasks throughout the organization. This position is suited to a self-motivated, professional person who can confidently work with a variety of people from different cultures and backgrounds. Diplomacy and tact are important to the success of this person. Ability to be a self-starter with strong organizational skills including attention to detail and follow-through. Must have the unique ability to intuitively know what your Executive Management will need at any given time.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Prepare Sales and HR Presentations, formulate and create sales reporting and provide high level analysis to executives .

  • Respond to meeting or call requests by coordinating, sourcing and providing all supporting documentation to be reviewed or needed for the meeting/call .

  • Follow up and monitor projects and strategic sales initiatives launched by Retail or HR.

  • The prioritization and management of executive calendars and email to ensure efficient use of time while independently prioritizing meeting requests and arranging travel schedules and reservations .

  • Keep executives abreast of all issues relating to the organization.

  • Create, Schedule, and handle all the details associated with an EVP level meeting.

  • Must be masterful at Excel, Office 365, Word, OneNote, Power BI and Adaptive.

  • Develop an understanding of Credit Union philosophy, organization, bylaws, and operational procedures and comply with the requirements of the Bank Secrecy Act, AML, OFAC and all other applicable State and Federal Financial Institution Regulations.

Education and/or Experience

Associates Degree preferred; five to eight years administrative experience within a financial institution. Excellent computer/word processing and Excel experience (utilizing function features within Excel to manipulate and produce data, producing quick graphs and charts). Ability to learn additional software and systems. Professional level communication skills. Demonstrated ability to make high-level decisions independently and to handle the most complex and sensitive information with appropriate discretion and confidentiality. Strong client-facing presence, able to represent OneAZ Credit Union well, and confidence in interacting with other executives. Work well with teammates at all levels. Familiarity with PowerPoint presentations and ability to summate/decrease/reuse presentations to tell stories to different audiences. Ability to edit communications to incorporate Executive’s style while considering audience. Highly Organized.
