SUMMARY: The Operations Managers plays a critical role within Investment Services Department. With overall responsibility for the day to day management of the technical operations, the Operations Manager must be able to work effectively with other staff members, assistants, clients, vendors, and Financial Advisors. OneAZ Credit Union has contracted with LPL Financial to make available investments and insurance offerings. Working with a team, the Operations Manager will have the ability to delegate tasks to assistants, but will hold ultimate responsibility for their efficient, timely, and accurate execution.
The Operations Manager (OM) will utilize expertise to recognize operational inefficiencies and work with management to improve them. Additionally, the OM will continuously plan for future growth of the department and the subsequent building and training of a team.
The OM will provide full back-up for the Vice President of Investment Services when necessary, to include FA management, budgeting, P & L management and payroll responsibilities. Some of these tasks will be a primary responsibility of the Operations Manager as determined by the VP.
ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned.
· Lead a team to efficiently:
o Build and maintain a systems manual for all operating procedures
§ Client Service model
§ Advisor Service model
o Maintain accuracy and integrity of CRM
o Provide "above and beyond" client service at all times
o See that all paperwork is correctly processed from start to finish
o Maintain licensing and advisor appointments
o Ensure assistants stay on task and work to their potential
o Engage in workshops and client appreciation events where appropriate
o Maintain a compliant office at all times
o Process trades and reallocations
o Assist advisors in implementing client plans
o Assist advisors with research and other preparation as needed
o Make use of all available scheduling time for advisors
o Process all service requests from clients
o Maintain accurate reporting of Investment Services & Member Engagement activity
§ Evolve the tracking and reporting as necessary
§ Work with department leaders to determine activity reporting needs and develop appropriate automation
§ Track income and expenses by region and maintain current P & L reporting.
§ Maintain all monthly, quarterly GDC reports.
§ Conduct research, and compile all types of Investment Services statistical and benchmarking reporting.
§ Work closely with the Credit Union retail staff to coordinate and implement relevant data reporting.
§ Generate all applicable reports from Salesforce
§ Generate applicable lists as necessary for marketing and sales efforts.
· Managerial responsibilities:
o Motivate, lead, and mentor operations team
o Audit preparation
o Understand and maintain technology requirements
o Principal back-up for Vice President of Investment Services in all areas, with the exception of Compliance (LPL Compliance will step-in)
o Monitor monthly budgeting/P&L
o Complete payroll calculations
o Work with insurance vendors to receive, track, and report sales and payment of commissions
o Attend all meetings and professional seminars as required.
o Develop an understanding of Credit Union philosophy, organization, bylaws, and operational procedures and comply with the requirements of the Bank Secrecy Act, AML, OFAC and all other applicable State and Federal Financial Institution Regulations.
o Be open to new tasks and responsibilities as delegated by the VP of Investment Services
· Interact with clients to:
o Get all questions answered accurately within department specific time standards
o Build and solidify relationships
o Complete paperwork when business is closed and place trades if directed.
o Answer or get answers to any follow up questions after business has been closed
o Ensure a five-star experience at all client events
Education and/or Experience - Bachelor’s Degree and at least two years related experience or at least 5 years of related experience. Arizona Life, Health & Accident Insurance licenses, and FINRA Series 7 and 66 (or 65 & 63) licenses required, Series 24 a plus.
